General Terms and Conditions (GTC) of the Verein Deutsche Turnfeste e.V. (German Gymnastics Festival Association) for the International German Gymnastics Festival Leipzig 2025

§1 Scope of application

These GTC govern the legal relationship between the organiser Verein Deutsche Turnfeste e.V., Otto-Fleck-Schneise 8, 60528 Frankfurt am Main - hereinafter referred to as: Organiser - and the registering club/institution - hereinafter referred to as: Club - arising from participation in the sports event entitled "International German Gymnastics Festival Leipzig 2025" - hereinafter referred to as: Turnfest. In the case of individual registrations, e.g. for the Turnfest Academy - hereinafter referred to as TFA - the contract is concluded between the organiser and the individual. 

All selected services will only be processed in accordance with the following GTC, unless otherwise agreed. Deviating agreements must be made in writing. When purchasing tickets, the contractual partner of the association shall be the ticketing partner and the GTC of the ticketing partner shall apply exclusively, in particular with regard to the binding nature of the booking or cancellation options. Events or offers that are not organised by the organiser itself will be marked accordingly in the Turnfest Programme Guide. These include,

 

§2 Establishment of the contractual relationship
The organiser can set various registration deadlines. With the registration deadline, the registered persons - hereinafter referred to as: participants - are bindingly booked with all selected services. 

Deviating from this, the binding booking for individual registrations is made via the "Finalise registration" (“Anmeldung abschließen“) button of the online registration tool - hereinafter referred to as "registration tool". The contractual relationship is concluded when the organiser sends the corresponding booking confirmation by e-mail.

 

§3 Terms and conditions of participation
All domestic and foreign clubs that register properly via the registration tool can take part in the Turnfest. The minimum age for participation in competitions is twelve years (born in 2013), unless a different age limit has been specified in the Turnfest Programme Guide. Competitors may only compete in the advertised age groups, unless they are explicitly advertised as "open". In the interests of fair play, but also to avoid health risks, all participants should only compete in the performance classes or difficulty levels that they can safely master with regular training and that their state of health permits. Participation in the German Championships is not possible for foreign participants unless this is indicated in the Turnfest Programme Guide.

Individual bookings can register for the events marked in the Turnfest Programme Guide via the registration tool.
In addition to the competitions, there are numerous events as well as information and join-in activities in which guests and spectators can also participate without prior registration.
 

§4 Registrations
(1) The conditions stated in the Turnfest Programme Guide apply to participation in the Turnfest. Registration is only possible via the registration tool. Participation requires proper registration of participants in accordance with the Turnfest Programme Guide, truthfully and completely stating the information required therein within the registration deadline and before exceeding any maximum number of participants specified by the organiser (e.g. for competitions and TFA workshops).

(2) The Turnfest Admin is only entitled to make entries for the club if he/she has been authorised to do so by the club's authorised representatives.

(3) By registering, the Turnfest Admin declares that the participants listed on the registration form do not suffer from any health complaints that would make participation appear medically inadvisable or dangerous to health.

(4) It is the sole responsibility of the participant to have their state of health checked by a doctor and their state of training checked by a sports physician immediately before taking part in the event to ensure that he/she is fit to take part in the event. Participation is at the participant's own health risk.

(5) The organiser may set an organisational limit (minimum and maximum number of participants), which will be announced in the Turnfest Programme Guide or at a later date. Entries for the TFA that exceed the limit will be placed on a waiting list.
If there are not enough entries, the organiser reserves the right to cancel services after the entry deadline. (Cancellation policy see §11 (7))

(6) The participants of the Turnfest undertake to accept and implement the house rules of the event venues as well as official orders.
The organiser's instructions resulting from the safety concept must also be implemented. The organisers are obliged to inform all registered participants of the GTC.

 

§5 Changes, re-registrations and late registrations after the registration deadline

As long as it is not a binding individual registration, changes to registrations are possible at any time within the registration period free of charge in the registration tool. 

Bookings become binding after the registration deadline. 

Changes, re-registrations and late registrations are no longer possible after the registration deadline.
 

§6 Invoicing

After the respective registration deadline, each Turnfest Admin will receive an invoice for the registration by e-mail. 

For individual registrations, the invoice will be sent immediately by e-mail. 

If a different invoice address is given or changed after the invoice has been issued, or if an invoice is resent, a processing fee of €6.00 will be charged, which is to be borne by the Turnfest Admin.

 
§7 Payment

For German clubs and individual bookers, payment is made by direct debit using the SEPA direct debit procedure. Booking via the registration tool constitutes consent to the SEPA direct debit authorisation.
If an invoice with a different billing address is required, the exact billing address must be entered directly in the form fields provided for this purpose in the registration tool.

The notice period for direct debit collection is shortened to 2 days before the due date. The due date is stated on the invoice. If the due date falls on a weekend/bank holiday, the due date is postponed to the following working day. The mandate reference is also stated on the invoice.

A processing fee of €10.00 will be charged for returned direct debits caused by a shortage of funds in the account or the provision of incorrect bank details by the Turnfest Admin. In addition, the return debit fees (the fee varies depending on the financial institution used) are to be borne by the Turnfest Admin.

In the case of foreign clubs, the invoice amount must be settled exclusively by payment.

If a direct debit is not possible for the above-mentioned reasons, the invoice must be paid immediately or by the specified due date.

The organiser reserves the right to charge reminder fees and default interest for late payments.

 
§8 Turnfest documents

The Turnfest documents will only be sent to a German address of the Turnfest Admin after full payment has been received and after the final registration deadline. If the invoice has not been paid by 4 weeks after the registration deadline, the Turnfest documents must be collected on site from the Participants Management after payment has been made. Proof of payment must be provided upon collection if payment is not received in time. 

In the case of foreign participants, the Turnfest documents must be collected by the Turnfest Admin from the Participants Management after payment has been made.

 
§9 Participant Card

Participant Cards are personal and non-transferable; they may not be passed on or copied. The participant Card is only valid together with a valid photo document (e.g. identity card or school ID). 

Changes to the Participant Card may only be made by the Participants Management or, for competitions, by the respective competition organisers. In the event of loss, a new Participant Card can be issued on site by the participant management for a processing fee of €20.00.


 
§10 Validity of the Participant Card

Subject to capacity being exhausted, the Participant Card entitles the holder to attend all events of the Turnfest with the exception of events and offers subject to a charge as well as special events (see the Turnfest Programme Guide).

 

§11 General information on cancellations of the registration
(1) Illness 

Cancellations after the registration deadline are only possible in case of illness upon presentation of a medical certificate. In this case, the Turnfest fee and - if booked - the accommodation costs will be refunded minus a processing fee of €20.00 per cancellation. Requests for reimbursement must be sent by the association with the medical certificate and the unused Participant Card to the Participant Management (Verein Deutsche Turnfest e.V.; OK Leipzig 2025; attn. participant management; Elsbethstraße 19-25; 04155 Leipzig) by 25 May 2025 at the latest (date on the postage stamp will be considered). Applications received after this date will not be processed.

(2) Competition 

Competition cancellations after the registration deadline are not possible.

(3) Qualification competition after the registration deadline 

If the qualification competition for the German Championships, the "Rendezvous of the Best" National Finals, or the National Final Tuju-Stars does not take place until after the registration deadline, the registration must still be made by the registration deadline if the intention to participate exists. In the event of unsuccessful qualification, the registration for the Turnfest can be cancelled until 25 May 2025. Requests for refunds must be sent by the club with the unused Participant Card to the Participant Management (Verein Deutsche Turnfest e.V.; OK Leipzig 2025; attn. Participant Management; Elsbethstraße 19-25; 04155 Leipzig) by 25 May 2025 at the latest (date on the postage stamp will be considered).). Applications received after this date will not be processed.

(4) Cancellation in a group/team 

If a participant in a group/team cancels, the position can be replaced free of charge by another participant who has already registered, provided the respective regulations do not prevent this. Cancellation of the group registration is not possible.

(5) Competition date coincides with booked workshop

In the event of an overlap between the competition date and the workshop, cancellation is not possible. The workshop place can be transferred to another participant who has already registered. An additional processing fee of €10.00 per participant will be charged to the club of the transferring participant for processing by the organiser.

(6) Booked competitions/game tournaments coincide

In the event of an overlap between the competition date and the tournament, cancellation is not possible.

(7) Competition/workshop cannot take place due to insufficient number of participants

If the minimum number of participants has not been reached after the registration deadline, the organiser has the right to cancel the competition/workshop. In this case, the corresponding services will be cancelled from the booking and will not be charged.

(8) Failure to start
There will be no refund of entry and registration fees in the athlete did not start.

(9) Refunds
Reimbursement amounts will only be transferred to the account specified by the club or individual booker after the Turnfest and, if applicable, after deduction of the above-mentioned processing fee, at the latest 6 weeks after the end of the Turnfest. 

A processing fee will not be refunded under any circumstances.

(10) Relationship between GTC and individual competition regulations

These GTC take precedence over the competition regulations of the individual sports.

 

§12 Cancellation of events due to force majeure

If, in cases of force majeure, the organiser is entitled or obliged by official order or for safety reasons to make changes to the organisation of the event or to cancel it, the organiser shall not be liable for damages.
 
§13 Insurance and liability
All participants are responsible for their own safety at the Turnfest. The use of all services is at the participant's own risk. The organiser is only liable for intentional or grossly negligent fault on the part of its employees. The organiser is not liable for simple negligence and assumes no duty of care, in particular for luggage, wardrobe, equipment, musical instruments or similar items. In the event of accidents involving participants, existing private or club insurance or liability insurance must be used. 

Participants must ensure that they have adequate health insurance cover themselves. 

For all events and trips not organised by the organiser, the organiser assumes no independent liability, e.g. for accidents, delays, or other irregularities.

 
§14 Publication of images and storage of data

During the Turnfest - as at other public events - photos and videos will be taken for reporting purposes, and competition results will be published. Personal data provided when registering will be stored for the purposes of organising and running the event and processed for the purposes of media coverage. 

The legal basis for the publications results from Art. 6 (1) (e) GDPR (public interest) and Art. 6 (1) (f) GDPR (legitimate interest of the company) as well as Section 23 (1) KUG for image reporting without consent.

The legal basis for data processing results from Art. 6 (1) (b) GDPR (fulfilment of a contract) and Art. 6 (1) (f) GDPR (legitimate interest of the company).

 
§15 Place of fulfilment
The contractual place of fulfilment for both parties is Leipzig.
 
§ 16 Place of jurisdiction
The place of jurisdiction is Frankfurt am Main.

§ 17 Severability clause
Should individual provisions of these GTC not become part of the contract in whole or in part or be invalid, the remainder of the contract shall remain valid. Insofar as the provisions have not become part of the contract or are invalid, the content of the contract shall be governed by the statutory provisions.
